Referral Tracking Policy
Effective date: July 11, 2026
1. Purpose
This Referral Tracking Policy explains how WarmNest tracks affiliate referrals, attributes qualifying sales, and determines which affiliate is eligible to receive commission.
This policy forms part of the WarmNest Affiliate Program Terms & Conditions and should be read together with the Commission Policy and Payment & Payout Policy.
2. Referral Tracking
WarmNest uses unique affiliate tracking links, referral codes, cookies, and other tracking technologies to identify referrals made by affiliates.
Only referrals successfully recorded by the WarmNest Affiliate System are eligible for commission.
WarmNest cannot guarantee successful tracking if tracking technologies are blocked, disabled, or interfered with.
3. Affiliate Links
Each approved affiliate receives:
- A unique affiliate ID.
- Unique referral links.
- Campaign tracking links (where available).
- Promotional banners and marketing assets.
- Referral codes (where applicable).
Affiliates are responsible for using only official WarmNest-issued links and codes.
4. Cookie Duration
WarmNest's standard referral cookie duration is 30 days from the customer's first successful referral click, unless otherwise stated for a specific promotion.
If a qualifying purchase is completed within the cookie period, the referring affiliate may be eligible to earn commission, subject to all other program requirements.
WarmNest may change the cookie duration for promotional campaigns, with the applicable duration clearly communicated in advance.
5. Attribution Model
WarmNest uses a Last Valid Click Attribution model.
This means:
- If multiple affiliates refer the same customer, the most recent valid affiliate referral before the qualifying purchase will generally receive credit.
- The referral must be successfully tracked by the WarmNest Affiliate System.
- All other eligibility requirements must also be satisfied.
WarmNest reserves the right to investigate unusual referral activity before awarding commission.
6. Qualifying Referrals
A referral is considered valid when:
- The customer clicks a valid affiliate link or uses an approved referral code.
- Tracking information is successfully recorded.
- The purchase meets all commission eligibility requirements.
- No fraud or policy violations are detected.
7. Invalid Referrals
The following referrals are not eligible for commission:
- Self-referrals.
- Purchases made using your own affiliate account.
- Fake customer accounts.
- Duplicate customer accounts created to generate commissions.
- Fraudulent transactions.
- Orders cancelled before completion.
- Refunded purchases.
- Chargebacks.
- Bot-generated traffic.
- Cookie stuffing.
- Click fraud.
- Manipulated referral tracking.
8. Referral Codes
Where WarmNest provides referral codes:
- Codes must only be shared by the assigned affiliate.
- Referral codes may not be altered or copied from another affiliate.
- WarmNest reserves the right to deactivate referral codes used in violation of program policies.
9. Cross-Device Tracking
Referral tracking may be limited where customers:
- Switch between multiple devices.
- Clear browser cookies.
- Use private or incognito browsing.
- Disable cookies.
- Use browser extensions or privacy software that blocks tracking.
WarmNest cannot guarantee referral attribution where tracking information is unavailable.
10. Cookie Deletion
If a customer deletes browser cookies before completing a purchase:
- The referral may no longer be tracked.
- Commission may not be payable if the referral cannot be verified.
Affiliates acknowledge that cookie deletion is outside WarmNest's control.
11. Direct Website Visits
If a customer:
- Clicks an affiliate link,
- Then later returns directly to the WarmNest website without a new qualifying affiliate referral,
the original referral may still qualify, provided the tracking cookie remains active and no later valid affiliate referral replaces it.
12. Coupon Attribution
Where affiliate-specific coupon codes are available:
- A valid affiliate coupon may be used as supporting referral information.
- WarmNest reserves the right to determine how coupon usage interacts with affiliate tracking.
- Promotional campaigns may include different attribution rules, which will be communicated separately.
13. Multiple Affiliate Referrals
If a customer interacts with more than one affiliate before making a purchase:
- The last successfully tracked valid referral will generally receive commission.
- WarmNest reserves the right to review complex referral paths to ensure fair attribution.
14. Referral Reporting
Affiliates may view referral statistics through the WarmNest Affiliate Dashboard, including:
- Clicks
- Unique visitors
- Referral sources
- Orders
- Conversion rates
- Pending commissions
- Approved commissions
- Rejected commissions
- Paid commissions
Dashboard statistics are provided for informational purposes and may be updated following audits or corrections.
15. Tracking Errors
Although WarmNest strives to maintain accurate tracking, technical issues may occasionally occur.
WarmNest is not responsible for referrals that cannot be tracked due to:
- Internet interruptions.
- Browser settings.
- Customer privacy tools.
- Third-party software.
- Device changes.
- Incorrect affiliate links.
- System misuse.
WarmNest will make reasonable efforts to investigate reported tracking issues where sufficient evidence is available.
16. Fraud Detection
WarmNest continuously monitors referral activity for suspicious behaviour.
Activities that may trigger investigation include:
- Abnormally high click volumes.
- Unusual conversion patterns.
- Automated traffic.
- Fake customer accounts.
- Multiple purchases from related accounts.
- Referral manipulation.
- Cookie stuffing.
- Click injection.
- Artificial traffic generation.
Fraudulent referrals will not qualify for commission.
17. Referral Disputes
If an affiliate believes a referral has been incorrectly attributed, they must submit a dispute within 30 days of the relevant transaction.
WarmNest may review:
- Tracking logs.
- Referral history.
- Click data.
- Order records.
- Fraud monitoring reports.
Following investigation, WarmNest's decision will be final.
18. Policy Updates
WarmNest reserves the right to amend this Referral Tracking Policy at any time.
Any updates will take effect from the published effective date. Continued participation in the Affiliate Program constitutes acceptance of the revised policy.
